AnyDoc automates and accelerates the digital processing of prescriptions and is compatible with most types of document formats
Wiesbaden - September, 2, 2008 - AVC Dick GmbH & Co KG (AVC = Apotheken-Verrechnungs- und Codierstelle ), specialist in prescription accounting and document archiving for pharmacies, is looking to AnyDoc Software for the processing of its data input in the future. The OCR for AnyDoc® solution – from the expert for document and data capture and classification solutions – replaces AVC Dick’s previous text recognition application, which proved to be too inflexible and imprecise for data collection.
AVC Dick is a service provider for pharmacies. Its main task areas include automatic document archiving. The company offers its customers reliable accounting services and extensive insurance cover for prescriptions. In this capacity, AVC Dick acts as an interim financer for pharmacies. These send the prescriptions they receive to the computing centre, charge the documents straight away and receive their money immediately. Later, AVC Dick settles the prescription services on their behalf with the health insurance companies and is reimbursed the money that was previously paid. The pharmacy provider supplies the services up-front, paying substantial sums of money while doing so, and thus ensures the liquidity of the pharmacies. Every prescription may only be submitted once to the health insurance company and subsequent amendments are not possible. To avoid accounting errors, AVC Dick thus relies on the correct and secure collection and processing of prescription data. If faulty prescriptions are sent to the health insurance companies, AVC is exposed to the risk of heavy financial losses. The problem of earlier IT solutions in supporting this process was that the prescription forms were often not filled out fully or correctly. Different styles of handwriting and typescripts, objectionable elements like the doctor’s personal seal, signatures and handwritten comments, were all obstacles that had to be overcome. These presented considerable difficulties for most software solutions.

The benefits of the AnyDoc solution for AVC Dick are primarily the uncomplicated and reliable data collection and analysis functions. Incoming prescriptions are scanned, registered from the first to the last character, analysed and extracted. The data relevant to the processing of the prescription is automatically recorded. Even without the additional freeform technology, which is also offered by AnyDoc, OCR for AnyDoc® is capable of collecting and processing all the important data from the document. In many systems, the recognition of text/characters is carried out via form templates. But this is not sufficient in this case. Prescriptions usually come in the form of standard forms that need to be filled out. However, as doctors and pharmacists alike do not always stick to the form guidelines – with documents sometimes coming slanted, with printed text upwardly or downwardly displaced, or with ink ribbon errors here and there – the solution had to be implemented so that it would be flexible but nonetheless secure. The solution analyses the checksums, date sections or compares the data that was read in with the master data provided by AVC Dick (health insurance numbers, doctors’ numbers, pharmacy and central numbers etc.) to ensure that only correct data is issued.
As most manual processing steps have been eliminated thanks to the electronic processing function of OCR for AnyDoc®, prescriptions can be processed faster and more accurately in the future.
